Applicant Privacy Notice

How Cogrion handles personal data about job applicants, candidates and prospective workers.

This Applicant Privacy Notice applies when an individual applies for employment, internship, consultancy or another work opportunity with Cogrion. It supplements the general Privacy Notice.

1. Information we collect

  • Identity and contact details.
  • Resume, employment, education, skills, portfolio and professional-profile information.
  • Interview notes, assessments, work samples, availability, compensation expectations and role preferences.
  • References, right-to-work information and background-check results where lawful and relevant.
  • Communications with the applicant and recruitment-source information.

2. Sources

We obtain information from applicants, referees, recruitment providers, professional networks, lawful public sources and, where permitted, screening providers. Applicants should provide referee information only when authorised to do so.

3. Purposes and legal grounds

We process applicant data to evaluate suitability, communicate about opportunities, arrange interviews, verify information, maintain recruitment records, make and administer offers, comply with law, improve recruitment and establish or defend legal claims. Depending on applicable law, processing is based on steps toward a contract, legitimate interests, legal obligations or consent.

4. Disclosure and transfers

Applicant data may be shared with relevant Cogrion personnel and affiliates, recruitment and assessment providers, background-check providers where permitted, professional advisers and authorities where required. Data may be processed internationally using appropriate safeguards where required.

5. Retention

If an applicant is not hired, Cogrion will ordinarily retain the applicant’s personal information for up to twelve (12) months after completion of the relevant recruitment process. Cogrion may retain information for a longer period where required or permitted by applicable law, necessary to establish, exercise or defend legal claims, or where the applicant has consented to being considered for future opportunities.

For successful applicants, relevant information may become part of their employment or engagement record and will be retained under the applicable employee-retention requirements.

6. Automated tools

Cogrion may use tools to organise applications, identify relevant qualifications or support scheduling. Cogrion does not make a final hiring decision solely through automated processing without meaningful human involvement. Applicants may contact admin@cogrion.comwith questions about the process.

7. Rights and contact

Depending on applicable law, applicants may request access, correction or deletion, object or withdraw consent, or exercise other privacy rights. Requests may be sent toadmin@cogrion.com. Cogrion may verify identity and apply lawful exceptions.
